Jobs

Overview

The recruitment module allows organizations to manage their entire hiring process directly within Item Marketplace under the Jobs tab.

It centralizes all recruitment-related activities - from posting job openings to reviewing candidates and monitoring hiring performance - within one unified interface.

This module is designed for:

  • Companies using the Marketplace platform who need a centralized recruitment management system.

  • HR teams or hiring managers who want to create, track, and optimize job postings and candidate applications.

  • Organizations managing multiple recruitment channels such as LinkedIn, Indeed, and ZipRecruiter through XML synchronization.

Dashboard

The dashboard provides a quick snapshot of your recruitment performance and application statistics for the current period.

KPI Overview: Displays real-time hiring metrics such as Open Jobs, Applications, Pending Review, and Ready.

Application Trend: A visual analytics chart showing application volume over time. Filter options: Last 7 days, Last 30 days, and Last 3 months.

Recent Applications: A summarized list of the latest candidate applications and their details, including location, job, expected salary, and status.

Jobs

The jobs page serves as the central control panel for all job posting.

Job List

  1. Access to Jobs List via Jobs section. Here, you can see the basic information related to the jobs, such as status, created time, recruiter.

  2. If you'd like to know more details or the specific candidate who applied this job, please click the job into details page. Each candidate is assigned a stage reflecting their current progress in the AI-driven hiring process.

StageDescription
ScreenedThe candidate's resume has been passed by the AI reviewing. The system has generated a detailed resume analysis, including a job compatibility score and summary insights based on experience and skills.
AI VettedThe candidate has completed the first-round AI interview. The AI evaluates the candidate's responses, assesses their technical and soft skills against the job requirements, and provides both an overall performance score and interview summary.
Pending ReviewThe candidate has not yet participated in an interview and has not received a new invite.
DeniedThe candidate has failed the initial AI screening. The resume or profile did not meet the basic requirements for the position.
ReadyThe candidate has successfully passed the AI interview and is ready for the next stage - such as background check, manual review, or final interview.
Background CheckedThe candidate has passed the background verification process. This is typically the final validation step before extending a formal job offer.
  1. If you need to update any information of the job, such as location, job type. Please click on Edit Job button on desired job's detail page.

  2. Modify the corresponding fields, then click Update Job to save the latest data.

  1. For the outdated or filled positions, you can remove them via More button > Delete Job.

Create New Jobs

There are two methods to create a new job:

Create from Scratch: start with a blank form or copy from existing job template.

AI Document Scan: extract job details from PDF using AI.

Unlike manual processing, AI document scanning automates data extraction by intelligently identifying and filling in fields.

Create from Scratch

  1. Go to Jobs section, then click + Add Job.

  2. Choose + Create from Scratch method.

  3. Select a new job type or existing template.

  4. Click on + Create New to continue.

  1. Fill in Job Detail, Title, Description, Location, Type, Responsibilities, Skills and more relevant fields.

  2. Click Create Job to complete the process.

AI Document Scan

  1. Choose AI Document Scan methods after clicking on + Add New.

  2. Upload a document (PDF or DOC) to automatically extract job details using AI.

  3. Click Create Job after AI complete processing and analyzing.

  1. Check the correctness of the job details, if anything is correct, click on Create Job to complete.

Candidates

The candidates section provides a centralized database of all applications across jobs.

The candidate list displays all candidates, by clicking the specific candidate line, you can view his/her personal information and uploaded resume.

Transaction Records

This section logs all credit transactions associated recruitment activities, such as job posting.

Account Management

This section is accessible only to the Primary Account user and includes XML Settings and Account Settings.

XML Setting

This is used for integration with external job platforms.

  1. Navigate to Account Management > XML Setting, choose one platform to configure the parameter. There are three available platforms: LinkedIn, Indeed, and ZipRecruiter.

  2. Enter the account email of the platform.

  3. Get the generated link and follow the guide to complete the integration with third-party platform.

  4. Save the information.
